How to add a wholesale application form to Shopify B2B
Let retailers apply for a wholesale account on your Shopify store, review them, and turn approved applicants into native B2B companies — with Shopify's free request form or an app.
Why you need an application form
Most growing brands get wholesale interest through their website — a stockist page, an email, a contact form. An application form captures the same details every time, and an approval step keeps wholesale prices and payment terms away from anyone you haven't vetted.
Option 1: Shopify's free company account request form
Shopify has offered company account requests since September 2023. You build the form with the free Shopify Forms app and add it to a page. Each submission creates a company, a company location and a customer in your admin; the company can't place orders or see B2B prices until you approve it, and the “Allow ordering for companies created by company account requests” template in Shopify Flow can approve every request automatically.
For many stores this is enough. You can add your own fields, and Flow can set payment terms or checkout settings when a new location is created. Anything beyond that — adding the location to a B2B market or catalog, marking it tax exempt, approving only some requests — means building Flow workflows, some with hand-written Admin API requests.
Option 2: an app such as Wholora
- Approval rules: approve automatically, or only when an EU VAT number is valid in VIES.
- One-click provisioning: approving creates the company, location and contact and sets the B2B market or catalog, payment terms and tax exemption you chose.
- A separate application queue with status filters, rejection reasons and optional emails to the applicant.
- Credit limits enforced at checkout and a receivables aging view — they also work for companies created through Shopify's own form.
What to ask
- Company name, contact name and a business email (the email becomes the buyer's login).
- Shipping address and country — used for the company location and taxes.
- Tax ID or VAT number. For EU buyers you can validate it against the official VIES service.
- Website or social profile, so you can check the business is real.
- Business type and expected order volume — useful for deciding price tiers.
- Optional: resale certificate number, how they heard about you, agreement to your wholesale terms.
Adding the form with Wholora
- Install Wholora and open Application form to choose fields and add your own questions.
- In Shopify, create a page such as “Wholesale”.
- In the theme editor, create a page template (Pages → Create template, for example “wholesale”) and add the “Wholesale application” block. It inherits your theme's fonts and colors.
- Assign that template to your Wholesale page, so the form doesn't appear on every page that uses the default template.
- Choose approval settings: which B2B market (or, on Plus, catalog) and payment terms approved buyers get, whether buyers with a valid EU VAT number are marked tax exempt, and whether to approve automatically when the VAT number is valid.
- Approve applications with one click. Wholora creates the Shopify company, location and contact, applies your market or catalog and payment terms, and can email the buyer.
Tips for a smooth process
- Link the wholesale page from your footer and from your order confirmation emails.
- Use Shopify Flow with Wholora's triggers to get a Slack or email alert for every new application.
- Respond within one business day — wholesale buyers often apply to several brands at once.
- Keep the form short; you can always ask follow-up questions by email.
Credit limits for native Shopify B2B
Wholora enforces a credit limit for each company location at checkout, shows who owes you what, and approves wholesale buyers in one click into Shopify companies. The Free plan includes credit limits for 3 company locations.
